Terms and Conditions
Last updated 3 October 2026
These terms cover the public website at enqivaai.com and the signed-in product at app.enqivaai.com. The service is sold to practices. Patients do not create accounts. A signed customer agreement controls where it differs from these terms. These terms do not name a legal entity, postal address, governing law, or a business-associate agreement. Those points belong in the customer agreement. Email info@enqivaai.com if you need them.
The service
Enqiva AI is a consultation-coaching platform for eye-care practices. Staff record patient conversations, receive live coaching and post-visit analysis, and review team performance and revenue.
A session can be recorded, transcribed, analyzed, exported (including as a PDF), and downloaded as audio. Offices can enable or disable refractive (LASIK), cataract, RLE / clear lens exchange, ICL, dry eye, and corneal cross-linking (CXL), and can set an average revenue figure for each enabled procedure.
Accounts and access
There is no public sign-up form. Admins create users. Sign-in is email and password. Password-reset email is sent through an email service. When it is configured, sign-in includes a bot check.
Roles are administrator and staff. They are scoped by office and can include permissions for consultations, reports, team, and related areas. Admins can create, update, and delete users. Where a permission allows it, a user can delete a consultation. Permission changes are written to an audit log.
Each user is responsible for keeping their password confidential and for activity under their account. The practice is responsible for who it invites and which permissions it grants.
What the practice is responsible for
The practice is responsible for having a lawful basis to record consultations and for telling patients they are being recorded. The product does not collect that consent for the practice.
The practice is responsible for the accuracy of what staff enter, including patient details, notes, procedure settings, and average prices. Staff remain responsible for what they say to patients.
Coaching outputs
Outputs are coaching, summaries, scores, and revenue estimates. They are for training and education. They are not medical advice, diagnosis, or treatment. Staff remain responsible for clinical and business decisions and for the words they use with patients.
The product shows the same limit in an in-app medical disclaimer. Dismissing that notice in the interface does not change these terms.
Audio and transcript text are sent to AI models for transcription, live coaching, analysis, recaps, transcript formatting, and dashboard chat, as described in the Privacy Policy. Dashboard chat is instructed to avoid patient names and to speak in aggregates. That instruction is not a guarantee that a particular answer will follow it. Transcripts, scores, summaries, and estimates can be incomplete or wrong.
Revenue figures
Average procedure prices are configured by the practice and used for analytics. Estimated and actual revenue figures in the product are those practice-configured estimates. The product does not issue invoices and does not process payments. There is no in-app checkout.
Customer data
The practice decides which consultations and patient details to enter. The Privacy Policy describes the fields the product stores, which of those fields are encrypted, and which providers receive audio and transcript text.
By using those features, the practice instructs Enqiva AI to process that information to provide the service, including sending audio and transcript text to AI models for the features named in the Privacy Policy.
A demo office can display mock consultations, mock patient names, and mock revenue. Those names are sample data.
Acceptable use
Use the website and the product for your practice's consultation coaching and the administration that goes with it. Do not attempt to open another office's data, bypass role or office limits, interfere with the service, or present a coaching output as if the product itself had made a clinical decision.
Intellectual property
Enqiva AI retains its rights in the product, the website, and the branding. The practice retains its rights in the consultation content it submits. Enqiva AI receives the rights needed to host, transcribe, analyze, display, export, and play back that content in order to provide the service.
Availability
We work to keep the website and the product available. These terms do not promise a specific uptime figure. Features can be interrupted by maintenance or by an outage in the cloud services or AI models the product relies on.
Suspension and ending access
We may suspend access that threatens the service or another customer's data. A practice admin can remove users. How a customer relationship ends, and any deletion deadline, are set in the customer agreement. These terms do not set that deadline.
Other agreements
If a signed customer agreement conflicts with these terms, the signed agreement controls. These terms do not add a liability cap, a warranty of uninterrupted service, or a choice of court. Coaching outputs are informational, and the practice remains responsible for how they are used.
Changes
We may update these terms by posting a new version on this page and changing the date above. Where a signed agreement requires notice or consent before a change applies to that customer, the agreement controls.
